About the Role

Spectrum Employment Services is a specialist job network provider for migrants and refugees. Following a recent internal promotion, we have an opportunity for a highly organized & strongly customer focused professional to join our Broadmeadows team.

As a full time Customer Service / Administration Officer your key responsibilities will be:

- to create a warm, welcoming and professional environment for jobseekers and other customers

- phone and counter reception tasks

- signing up new jobseekers and supporting jobseekers them with using equipment and applying for roles

- ensuring the office runs smoothly – maintaining supplies, ensuring the office is well presented, following up on maintenance and security

- administrative support to the team and site

We are seeking experienced reception / administrative applicants with excellent interpersonal and communication skills, highly developed administrative talents and who are flexible and can multi-task. If you are someone who doesn’t need to be asked, because you’ve already seen what needs to be done and are busy getting on with it…..then this would be a great role for you!

Requirements

Essential

  • Outstanding customer service skills and the ability to build rapport with CALD clients
  • Ability to develop a warm, welcoming environment for job seekers and any other clients visiting the site
  • Skills in conflict resolution and capable of dealing with difficult situations
  • Advanced organizational skills and demonstrated ability to meet deadlines.
  • Well developed verbal and written communication skills.
  • Proficient in MS Office and quick and accurate data entry.
  • Be committed to going the extra mile in supporting the team and clients, including taking action needing to be asked
  • The ability to learn quickly and to respond quickly to changing priorities
  • Ability to be flexible and have a hands on approach across all aspects of the site.
  • Be able to operate in an outcome focused environment.
  • Demonstrated positive values of integrity, accountability, reliability, working as part of a team consistent with the requirements of the contract and MRC.

Other Desirable Skills, Knowledge and Experience

· Ability to speak a relevant second language will be highly regarded (many of our jobseekers speak Arabic)

· Experience in Job Network will be highly regarded

· A current drivers license and access to own fully maintained vehicle
